Fuel Rate Changed During the Shift? How to Split the Sale
शिफ्ट के बीच में रेट बदल जाए तो हिसाब कैसे करें
4 min read ·
If the fuel price changes in the middle of a shift, note every nozzle's reading at the moment the new rate starts. Then calculate: litres before the change × old rate + litres after the change × new rate. That total is the expected amount for the shift. Using only one rate for the whole shift will make it look short or extra.
Why one rate for the whole shift is wrong
Rates don't change every day, but when they do, the change often lands in the middle of a 24-hour shift. If your handover is at 10:00 AM and the new rate starts at 6:00 AM, the same operator has sold fuel at two prices. The meter does not know about prices. Only the reading at 6:00 AM can tell you how many litres went at each rate.
Worked example: MS rate change at 6:00 AM
Petrol (MS) shift from 14 Sept 10:00 AM to 15 Sept 10:00 AM. The rate changes at 6:00 AM on 15 Sept from Rs.108.28 to Rs.108.06.
| Part of shift | Litres | Rate | Amount |
|---|---|---|---|
| 14 Sept 10:00 AM → 15 Sept 6:00 AM | 500 L | Rs.108.28 | Rs.54,140 |
| 15 Sept 6:00 AM → 10:00 AM | 100 L | Rs.108.06 | Rs.10,806 |
| Total | 600 L | Rs.64,946 |
Before: 500 × 108.28 = Rs.54,140
After : 100 × 108.06 = Rs.10,806
Expected Amount = Rs.64,946
Collected: Cash 40,000 + Online 14,946 + Pending Dues 10,000
= Rs.64,946
Difference = 0 → SettledNow see what happens if you use one rate for all 600 litres:
- All at the old rate: 600 × 108.28 = Rs.64,968. The operator looks short by Rs.22.
- All at the new rate: 600 × 108.06 = Rs.64,836. The shift looks Rs.110 extra.
Small amounts here, but on a busy pump with a bigger price change, across many nozzles, the gap grows fast. And it creates arguments with staff that were never their fault.
A simple checklist for rate change day
- Note the time the new rate starts (IST).
- Take the reading of every nozzle, petrol and diesel, at that time.
- Update the rate on the dispenser and in your records.
- At shift close, split each nozzle's litres into before and after.
- Multiply each part by its own rate and add them up.
- Compare with Cash + Online + Pending Dues as usual.
The rest of the shift math stays the same, including subtracting test litres. If you need a refresher, read how to calculate shift sales from nozzle readings.
How the app handles it
In Fuel Pump Book, when you update a rate, the app asks for every nozzle's reading at that moment. At shift close it splits the expected amount on its own: litres before × old rate plus litres after × new rate. You just compare the final difference.
Common questions
How do I calculate sales when the rate changes mid-shift?
Take every nozzle's reading at the moment of the change. Litres sold before that reading are charged at the old rate, and litres after it at the new rate. Add both to get the expected amount.
What if I forget to take the reading at the time of the change?
You will have to estimate, and the shift will not match exactly. That is why it is best to note all nozzle readings right when the new rate starts.
Does the operator have to give two separate cash amounts?
No. The operator hands over the total. Only the expected amount is split between the two rates.
